THE PROBLEM

Two roles, two mental models, same process for both

Employees submit and wait. Approvers chase receipts through email. Finance sees overruns after the fact. The problem isn't missing features - it's one interface trying to serve two completely different jobs.

"On the approval side, the UI still isn't great — it takes time to understand the expense details. If you need to act quickly, you end up back on desktop."

Recurring pattern · Concur & Expensify community forums, G2 reviews

"I submitted expenses weeks ago and still don't know if they were approved. I keep checking the site but nothing updates."

Recurring pattern · SAP Concur community forum

KEY DECISIONS

01

Receipt visible by default

V1: 84% of approvers tapped the receipt area, but it wasn’t tappable. They expected the receipt to expand inline -> Moved the thumbnail inline

Unmoderated usability testing via Maze, 8 participants total

Tested for V1

V2

02

Mobile over desktop for approver

Expense events happen in moments, desktop requires a context switch; the moment passes.

What success looks like if this ships

1

Approval cycle time

Industry avg: 12 days
Best-in-class: 3 days (Aberdeen Group)

Native push removes the email loop.

2

Receipt open rate per approval session

Measures whether approvers open the receipt before acting.

3

Resubmission turnaround time

How long it takes to fix a rejected or flagged expense.
